Booking & Cancellation Policy

1. Introduction
This Booking & Cancellation Policy applies to all guided activities, training days, and services provided by Ridgeline Guidance. By making a booking, you agree to the terms below.
2. Making a booking
Bookings are confirmed once payment is received, unless otherwise agreed in writing.
Full payment is normally required at the time of booking.
You must be at least 18 years old to book a service.
Group bookings must be made by a designated lead participant who accepts responsibility for all group members.
3. Participant responsibilities
To ensure safety and enjoyment for everyone, participants must:
Be appropriately equipped for the activity (clothing, footwear, food, water, etc.)
Follow instructions given during the activity
Disclose relevant medical or fitness information before the activity
Behave responsibly and respectfully
Failure to meet these requirements may result in removal from the activity without refund.
4. Cancellations by you
If you need to cancel your booking:
More than 28 days before the activity: Full refund or free date transfer.
14–28 days before the activity: 50% refund or one free date transfer.
Less than 14 days before the activity: No refund. A date transfer may be offered at my discretion if circumstances allow.
Non‑attendance on the day: No refund or transfer.
If you are unable to attend due to illness or injury, please contact me as soon as possible. I will always try to be fair and reasonable.
5. Cancellations by Ridgeline Guidance
I may cancel or amend an activity if:
Weather conditions make it unsafe
A route becomes inaccessible
Minimum numbers are not met (if applicable)
Illness or unforeseen circumstances prevent delivery
If I cancel:
You will be offered a full refund or a free transfer to another date
I am not liable for additional costs such as travel, accommodation, or equipment purchases
Safety will always take priority.
6. Changes to your booking
If you wish to change your date or activity:
Requests made more than 14 days before the activity are usually accommodated free of charge
Requests made within 14 days may incur a fee or be declined depending on availability
7. Weather and mountain conditions
The UK mountains can be unpredictable. I will always aim to deliver the planned activity, but I may adjust:
Route choice
Duration
Objectives
Location
These changes are made for safety and do not constitute grounds for a refund.
8. Insurance
Ridgeline Guidance holds appropriate professional and public liability insurance.
Participants are responsible for arranging their own personal insurance (e.g., travel, personal accident, cancellation cover) if desired.
9. Gift vouchers
Valid for 12 months from the date of purchase
Non‑refundable
Can be transferred to another person with prior notice
10. Late arrivals
Activities start promptly at the agreed time. Late arrivals may not be able to join the group, and no refund will be provided.
11. Under‑18s
Under‑18s must be accompanied by a parent or legal guardian unless a prior written agreement is in place.
